Step 1: Choose your plan

Public prices in US dollars, excluding tax, subject to change

On Free and Go, everyday chats are unlimited. What paid plans add: thinking power for complex files, and Work, the agent that produces finished deliverables.

Choose based on what you will produce, not on the feature list. For regular professional use, Plus is the right starting point.

You are on Free. Do the whole guide with it. The day you want ChatGPT to think through a real file or produce a finished document, move to Plus.

You are on Go. You have projects and more files: enough for steps 1 to 6. Work and the Thinking slider require Plus.

You are on Plus. That is the right plan to start. Tick this step and move on.

You are on Pro. You have every thinking level. Keep Extra High and Pro for the files that deserve it.

The Business planTeam

A shared, administered workspace, billed per seat. Conversations are not used to train the models, and the team gets Skills and shared plugins.

Before rolling out, decide who administers the workspace, which plugins are allowed and which data can go in.

Step 2: Choose the thinking level

Done

In the model picker

ChatGPT answers in Instant mode by default. For topics that need reasoning, move the Thinking slider: Medium, High, Extra High or Pro depending on your plan.

Simplified illustration: the picker’s exact place varies by device, and options by plan. On Free and Go, you get a Think button instead of the slider. Your screen looks different? Let us know

Pro · Business
The trap to know. On Plus and Pro, Instant does not move up a thinking level on its own, even if you write “think hard”. For serious work, move the slider yourself.

Step 3: Decide what ChatGPT remembers

Done

In settings

Before handing over your files, decide what it keeps in memory and whether your chats are used to train the models.

Memory

Settings›Personalization›Memory

To check what it knows about you, just ask: “What do you know about me?”. You can correct or remove anything. Turning memory off does not delete your past chats. Your screen looks different? Let us know

Data

Settings›Data controls
For a sensitive topic: the temporary chat. In a new chat, choose Temporary. It stays out of your history, creates no memories and is not used for training. OpenAI may keep it for 30 days for safety purposes.
Before using ChatGPT at workCareful

Sort your data into four simple categories:

PublicInternalConfidentialSecret

The last two need a clear rule before going into any AI tool: anonymise, summarise, or do not send.

Admin sideBusiness

On Business, chats are not used for training. Still check the workspace settings: memory, allowed plugins, sharing and role permissions.

In session We do these three settings together in “Set up your ChatGPT”, session 1. See the course

2 · Personalisation

Step 4: Give ChatGPT your context

Done

In personalization, projects, then a guided chat

By default, ChatGPT answers everyone the same way. Three places teach it who you are, from general to specific.

EverywherePersonalization

Its tone, style and your instructions. Applies to every chat.

One space per client or topic, with its own instructions and files.

Over timeMemory

What it picks up from your chats, set in step 3.

1. Personalization Settings › Personalization

Check that “Enable customization” is on. For work, “Efficient” or “Professional” are good picks; personality only changes the tone, not what ChatGPT can do. Your screen looks different? Let us know

Ask me 5 questions, one at a time: my role, my business, my language, the tone I expect, and what I never want to see in your answers.

Then write a text of 1,000 characters maximum that I can paste into Settings › Personalization › Custom instructions.

2. Your projects Sidebar › New project

Project instructions only apply inside that project and override your global instructions. You can also paste a Google Drive link or a Slack channel as a source.

Step 5: Connect your real tools

Done

Start with the ones you open every day

In ChatGPT, your tools plug in through plugins. A plugin bundles one or more apps (Drive, Outlook, Slack…) and sometimes ways of working. ChatGPT can then search your files, summarise a document or find a message.

Sidebar›Plugins

Pick the plugin, select Install plugin, then Connect and sign in to the right account. To manage connections later: Settings › Plugins. Your screen looks different? Let us know

Day to day, call them from the chat

The “+” or an “@” mention is enough. ChatGPT may ask for your approval before reading information or taking an action: read the request before accepting.

Do not install everything. Two or three tools you really use every day beat ten forgotten plugins.

On Free: the plugin directory is open to you, but some plugins depend on your plan. If one is missing, that is probably why.

Admin sideBusiness

On Business, many apps are on by default. The admin can restrict them in Workspace settings › Plugins. Each member then connects their own account.

6

Step 6: Build your assistant

Done

A project dedicated to one recurring task

An assistant is a method you no longer have to explain. The simplest way, on every plan: a project devoted to one task, with precise instructions and an example of a good result.

What about custom GPTs? OpenAI is phasing them out in favour of plugins. Personal accounts (Free, Go, Plus, Pro) can no longer create them. Do not build your method on them anymore.

Your assistant as a project New project › ••• › Project settings

One task per project: meeting notes, client follow-ups, product sheets. Open a chat in the project and paste your raw material: the assistant applies the method. Your screen looks different? Let us know

Pick a task you do at least once a week, paste this prompt, and ChatGPT writes your assistant’s instructions with you.

Build your assistantpaste into ChatGPT
I want to build an assistant for a repetitive task in my work. It will live in a ChatGPT project.

Start by asking me:
- the expected result;
- the inputs;
- the current steps;
- my rules and constraints;
- what must always be checked by a human.

Ask me one question at a time. At the end, write the project instructions, ready to paste into Project settings.
Going further as a teamBusiness

On Business, turn your assistant into a Skill (Plugins › Skills › Create, then “Create with chat”) or a plugin with @plugin-creator, and share it with the whole team. A Skill can contain code: only install those whose author you know.

In session Producing, connecting your tools, building your assistant: those are sessions 2, 3 and 4, on your own files. See the course

3 · At work

Step 7: Start on a real file

Done

Block 30 minutes this week

ChatGPT has two modes. Chat for questions and quick back-and-forth. Work, an agent for multi-step work that delivers a finished document, spreadsheet, deck or report. For a real file, use Work.

Illustrative example. Work is included from Plus; the Chat / Work toggle sits at the top of the page, and a project lets you start either with its context. On Free and Go, do the exercise in Chat. Your screen looks different? Let us know

1
Start from the right project

Open the client or topic project, then choose Work.

2
Aim for a finished deliverable

Not a question: a document that would have taken half a day. Four ideas:

A sales proposalfrom three client documents
A spreadsheet with formulasbudget, tracker, dashboard
A presentationfrom a report or your notes
A research reporton your market or a competitor
3
Review, then turn it into a method

Check figures and facts. When the result holds up, turn it into an assistant (step 6).

To startpaste into ChatGPT
I want to work with you on a real professional file.

Before we start:

1. ask me for the expected result;
2. ask me for the necessary context;
3. ask me for the useful documents;
4. suggest a way of working;
5. wait for my approval before producing the deliverable.

FAQ

Before you start.

What are the 7 steps?

1. Choose your plan. 2. Choose the thinking level. 3. Set memory and data. 4. Give your context. 5. Connect your tools. 6. Build your assistant. 7. Work on a real file. About 30 minutes in total.

Is the free plan enough?

To explore, yes: everyday text chats are unlimited on Free and Go. To think through complex files and use Work, you need a paid plan, from Plus upwards.

ChatGPT or Claude: which one?

Both are excellent. ChatGPT is an all-round assistant for everyday work. Claude shines on projects and long documents. The Maison de l'IA teaches both on the same Thursday: ChatGPT in the morning, Claude in the afternoon.

Is my data used to train the models?

On a personal account, yes, as long as “Improve the model for everyone” is on (step 3). You can turn it off at any time. Temporary chats are not used for training.

What about my custom GPTs?

OpenAI is phasing out custom GPTs in favour of plugins. Personal accounts can no longer create new ones. Build your assistant in a project instead (step 6).

Can I do this on my phone?

Mostly, yes, from the app. For plugins, projects and Work, a computer is more comfortable. Your progress follows you across devices with the resume link.

What if I get stuck?

Copy the “If you get stuck” prompt from step 4: ChatGPT walks you through the step, button by button. If you’d rather have someone with you, that is exactly what we do in session.
